The charity programme
Registered charities pay a lower per-ticket fee on any plan, keep the whole of every donation, and can collect UK Gift Aid at checkout. The charities page is the short version; this is how it works in the console.
What you get
Once we've verified your charity number:
- 2% per ticket, capped at £4.00 per order — or your plan's rate, whichever is lower. On Free that is a drop from 4% and a £6 cap; on Pro you are already there. A rate you negotiated with us separately always wins.
- No platform fee on donations. The fee is charged on the ticket half of a basket only, so a donation-only order costs you nothing but the card processing.
- 5,000 marketing emails a month, and campaign sending. This is a floor rather than a swap — a charity on Pro keeps Pro's 25,000 allowance.
- A trust line on your storefront: “Registered charity no. …” beside your organiser name, as plain text rather than a badge, so a screen reader reads it out like anything else.
The rate applies to orders taken after verification. Orders you already took keep the fee they were charged at the time — a fee is snapshotted onto each order, so nothing is ever recalculated behind you.
Who qualifies
Any organisation with a registration number from a UK charity regulator. The console asks which one:
- Charity Commission for England & Wales (CCEW) — six to eight digits, optionally with a linked-charity suffix
- OSCR (Scotland) — SC followed by six digits
- Charity Commission for Northern Ireland (CCNI) — NIC followed by five or six digits
- Other — for exempt and excepted charities, and for bodies outside the UK. No format check at all.
The format checks are typo guards, not verification. What actually decides your application is a person at frequentix reading your details against the public register.
Applying
Either at signup — tick “We're a registered charity” and the number fields appear — or afterwards from Settings → Billing. You need the Manage billing permission.
- You can have one application open at a time. While it is pending, the card shows its status.
- We email your account admins when it is decided, either way. A rejection comes with a reason, and you can correct your details and apply again.
- Nothing else about your account waits on it. You can build events, sell tickets and take payments throughout.
Donations & Gift Aid
Donations are available to every organiser, charity or not — switch the ask on per event from the event's Donations card, with your own message, up to four one-tap amounts and a minimum. Buyers can add a gift to a basket or give without buying a ticket.
What verification adds is the fee treatment above, and Gift Aid:
- Turn it on per event, beside the donation ask. Declarations are collected on donations in pounds sterling only.
- At checkout the donor gives their name, house number or name, and postcode, and agrees to HMRC's model declaration. We record the exact wording they saw, so a claim can always say what was agreed.
- Download the claim from Settings → Billing as an HMRC schedule, over whatever date range you are claiming for — both dates included. You upload it to Charities Online yourself; we never hold your HMRC credentials.
- Orders with any refund against them are left out, including partial ones. A part-refunded order cannot be split between the gift and the tickets, and over-claiming then repaying HMRC is worse than claiming late.
Gift Aid is not collected at the door. A declaration needs a home address, which is the wrong thing to ask for in a queue — door donations are simply un-Gift-Aided.
If your status changes
If verification is withdrawn — you asked, or your registration lapsed — the change is forward-looking only:
- Orders already taken keep the fee they were charged, and the declarations on them stay exactly as they are. They were true when they were made, and you may still have to answer for them.
- New orders revert to your plan's ordinary rate, and no new Gift Aid declarations are taken.
- Your Gift Aid export keeps working for the period you were verified.
Every decision — applied, approved, rejected, withdrawn — is recorded in your activity log.
